HR Self-Service timesheets and annual leave pilot

In 2018, HR Systems, in partnership with IT Services, launched HR Self-Service. This platform enables staff to access their payslips and P60s online, update certain details and apply for University jobs.

Benefits of HR Self-Service features

Following a Focus programme review, we are now working with a range of departments to pilot the annual leave and timesheet functionality in HR Self-Service. Benefits to participating departments include:

  • Reducing the administrative burden associated with the current manual timesheet process, by moving it online.

  • Cost savings for those departments currently paying for a separate leave management system (e.g. TeamSeer).
  • An improved user experience for casual and variable hours staff, and those currently managing their leave off-system.

We are delighted to confirm that in July, the first three pilot groups went live and are now using HR Self-Service to record annual leave and other types of absence. These include:

  • University HR (UAS)
  • Big Data Institute (NDM)
  • Ludwig Cancer Research (NDM)

The timesheet functionality will be implemented in October, when the remaining participants of the pilot; Classics and Physics, come on board.

Where to find additional information

Resources to support these pilot groups in managing annual leave and sickness, and timesheets are now available on the Staff Gateway. These include demonstration videos and 'frequently asked questions' which may also be of interest to departments looking to adopt this functionality in the future.

Next steps

We know there are many departments who are keen to adopt this functionality and we're currently exploring options for bringing more on board. In the meantime, if you have questions about this, please email us at coretime@admin.ox.ac.uk.
